Tournament Organizer Agreement

This Agreement applies to every verified individual or organization that lists or manages tournaments on PickleHunter.

1. Independent Organizer

The organizer is an independent service provider and is solely responsible for planning, conducting and managing the tournament.

Nothing creates employment, partnership, joint venture, franchise or agency between the organizer and PickleHunter.

2. PickleHunter’s Role

PickleHunter provides listing, registration, payment-integration, communication, bracket, schedule and related technology.

PickleHunter does not conduct matches, select winners, supervise the venue, appoint officials or guarantee tournament quality.

3. Verification

Only verified and active organizers may publish tournaments or use organizer registration tools.

Verification may include identity, contact, organization and business checks. It does not amount to endorsement or certification.

PickleHunter may approve, reject, suspend or revoke organizer access.

4. Accurate Tournament Information

The organizer must provide and maintain accurate:

• dates and times;
• venue;
• categories and eligibility;
• registration opening and closing dates;
• entry fees;
• capacity;
• format and rules;
• prizes, if any;
• refund information; and
• participant communications.

Material changes must be communicated promptly.

5. Publishing and Listing Fee

A configurable tournament listing fee may apply before publication.

The amount shown to the organizer before payment is the applicable amount for that tournament, subject to taxes and any approved waiver.

Payment of a listing fee does not guarantee approval or success of the tournament.

The listing fee is governed by the published commercial and refund rules.

6. Registration Methods

The organizer may accept:

Online registrations

The player registers and pays through PickleHunter’s supported payment-gateway integration.

Organizer-added registrations

The organizer records an entry after collecting payment directly, or marks an approved complimentary or sponsored entry.

Every confirmed participant must have a PickleHunter account and Permanent Player ID.

Name-only or anonymous confirmed entries are not permitted.

7. Player Acceptance

An organizer-added player must accept the entry before confirmation.

The organizer must not:

• register a player without consent;
• assign a doubles partner without acceptance;
• enter an unconfirmed participant into the final draw; or
• misrepresent a directly collected payment as a PickleHunter gateway payment.

8. Online Registration Commission

A configurable commission applies only to a successful registration payment processed through PickleHunter’s supported payment gateway.

The applicable commission is determined by the fee settings recorded for that transaction.

No online-registration commission applies to a genuine payment collected directly by the organizer, complimentary entry or sponsored entry.

PickleHunter may investigate unusual offline-entry patterns or suspected misclassification.

9. Directly Collected Payments

For organizer-added offline entries:

• the organizer is the collecting party;
• PickleHunter does not receive, hold or protect the payment;
• the organizer is responsible for receipts, taxes, refunds and disputes;
• payment records entered on PickleHunter must be truthful; and
• the organizer must retain supporting records where legally required.

The organizer must not suggest that PickleHunter guarantees a directly collected payment.

10. Gateway Settlement

Online tournament payment functionality is available only where the active gateway supports an approved direct, connected-account, marketplace or split-settlement structure.

The organizer or applicable beneficiary may be required to complete payment-provider onboarding and KYC before paid registrations can be enabled or proceeds can be received. KYC documents submitted through the payment flow are reviewed by the payment provider under its own obligations.

The applicable beneficiary, fee calculation and deductions may be recorded when the payment order is created. Settlement follows the payment provider's applicable settlement cycle and may be affected by verification status, refunds, reversals, chargebacks, holds, banking availability and applicable law. PickleHunter does not operate an organizer wallet or promise post-tournament manual payout.

Where the required gateway capability is unavailable, online payment may be disabled for the tournament.

The tournament listing fee is the configurable amount displayed immediately before payment. It is separate from participant entry fees and from the KYC required to receive participant-payment proceeds. PickleHunter may change the listing fee for future tournaments or apply an approved waiver; a previously displayed and confirmed payment remains governed by the transaction record.

11. Capacity and Eligibility

The organizer must:

• honor category limits;
• apply age, gender and skill rules consistently;
• avoid duplicate registrations;
• verify team and partner acceptance;
• keep pending entries out of final draws; and
• use admin overrides only where authorized.

12. Tournament Operations

The organizer is responsible for:

• venue and court arrangements;
• staffing and officials;
• check-in;
• schedules and draws;
• match rules and scoring;
• walkovers;
• participant safety;
• prizes;
• dispute handling; and
• compliance with applicable laws and venue requirements.

13. Results and Records

Results must be accurate and entered promptly.

PickleHunter may correct obvious errors, investigate reports, preserve audit history and restrict accounts involved in manipulation.

14. Cancellation and Refunds

The organizer must cooperate with the Refund & Cancellation Policy.

For payments processed through PickleHunter, eligible refunds are submitted through the supported gateway workflow.

For directly collected payments, the organizer is responsible for refunding the player and accurately updating the refund status.

Tournament cancellation does not automatically make the listing fee refundable.

15. Participant Data

Participant data may be used only to operate the relevant tournament, meet legal obligations and provide necessary communication.

The organizer must not:

• sell participant data;
• add players to unrelated marketing without lawful permission;
• disclose private contact information;
• retain data longer than necessary; or
• use data for an unrelated purpose.

Private name access for identity check-in

The public profile name is not necessarily the participant's legal name. Near the tournament dates, an authorised organiser may explicitly view a confirmed participant's provider-verified legal name, date of birth and gender only when an in-person document comparison is reasonably required. Each access is recorded. The organiser must not copy, photograph, announce, export, disclose or use these details for marketing or any purpose unrelated to that participant's check-in. These details are not supplied in ordinary participant lists or exports. If no provider-verified identity is available, the organiser may inspect identification in person where tournament rules require it but must not record document details in PickleHunter fields.

A public badge shows only PickleHunter's current verification status. It does not reveal the verification method or date, does not certify playing ability or conduct, and does not itself authorise access to private identity details. Any check-in access must still use the purpose-limited tool and rules above, including where an earlier approval is retained under a process-change transition.

16. Safety and Insurance

The organizer is responsible for reasonable safety arrangements, emergency planning and any insurance or permissions required for the event.

PickleHunter does not provide event insurance unless expressly stated.

17. Content and Promotion

The organizer confirms it has rights to tournament names, logos, photos, descriptions and other uploaded content.

The organizer grants PickleHunter a non-exclusive licence to display and promote the tournament.

18. Conduct

The organizer must follow the Community Guidelines and act professionally.

Harassment, discrimination, fraud, payment manipulation, false listings, score manipulation and unsafe practices may result in suspension or removal.

19. Fees, Taxes and Records

The organizer is responsible for taxes and invoicing obligations applicable to its tournament income.

PickleHunter may issue invoices for listing fees, commissions or other platform charges.

Platform records may be retained for accounting, fraud prevention, legal compliance and dispute handling.

20. Suspension

PickleHunter may suspend an organizer, tournament or feature where reasonably necessary for safety, fraud prevention, legal compliance, payment risk or policy enforcement.

Existing participants must be treated fairly and informed where appropriate.

21. Liability and Indemnity

The organizer is responsible for claims arising from its tournament operations, staff, venue arrangements, promises, prizes, directly collected payments and legal non-compliance.

To the extent permitted by law, the organizer will indemnify PickleHunter against third-party claims resulting from those matters or from breach of this Agreement.

Nothing excludes liability that cannot legally be excluded.

22. Records and Audit

PickleHunter may review registration source, acceptance, payment declarations, refund status and organizer audit history.

The organizer must provide reasonable supporting information where fraud, dispute or regulatory review is involved.

23. Term and Termination

This Agreement continues while the organizer uses organizer features.

Termination does not remove obligations relating to prior tournaments, participants, refunds, taxes, records or disputes.

24. Changes

PickleHunter may update this Agreement by publishing a revised version with an effective date.

Material changes may require renewed electronic acceptance.

25. Governing Law

This Agreement is governed by the laws of India.

Subject to non-excludable rights, disputes are subject to competent courts in Jaipur, Rajasthan.
