Refund & Cancellation Policy

This Policy applies to payments and bookings made through PickleHunter. It forms part of the Terms & Conditions.
1. General Rules
- Eligibility depends on the service and cancellation time.
- The eligible amount is shown before confirmation where the Platform supports it.
- Gateway refunds are initiated to the original payment method.
- Processing time depends on the gateway, bank or UPI provider.
- A refund is complete only when confirmed by the payment provider.
- Nothing in this Policy limits rights that cannot be excluded by law.
2. How to Cancel
Use the cancellation option in the PickleHunter dashboard.
A cancellation made verbally or outside the Platform is not recorded unless the organizer or venue confirms it through PickleHunter.
3. Court Bookings
Unless a different approved rule is displayed before booking:
- 24 hours or more before start: 100% refund
- 12 to under 24 hours: 50% refund
- 4 to under 12 hours: 25% refund
- Under 4 hours: no refund
If the venue cancels or cannot provide the booked court, a full refund will be initiated for gateway-paid bookings.
4. Open Play
The cancellation rule shown at booking applies.
Where no separate rule is shown, the court-booking schedule above applies.
If the venue cancels or cannot conduct the session for venue-side reasons, a full refund will be initiated for gateway-paid bookings.
A session that reasonably proceeds in an adjusted format does not become refundable solely because another player did not attend.
5. Group Classes
The cancellation rule shown at booking applies.
Where no separate rule is shown, the court-booking schedule above applies.
If the venue cancels and cannot arrange a suitable replacement coach or reschedule acceptable to the participant, a full refund will be initiated for gateway-paid bookings.
A suitable coach substitution alone does not create refund eligibility.
6. Tournament Registrations Paid Through PickleHunter
Unless a different policy is required by law:
- cancellation before registration closes: 100% of the refundable tournament entry amount;
- cancellation after registration closes: no refund; and
- no-show: no refund.
The exact refundable amount is shown before cancellation where supported.
Treatment of platform commission, gateway charges and taxes follows the fee rules recorded at payment, gateway rules, organizer agreement and applicable law.
7. Organizer-Added Offline Tournament Entries
Where payment was collected directly by the organizer:
- PickleHunter does not hold or refund that payment;
- the organizer is responsible for refunds and disputes;
- the player should request cancellation through the Platform so the entry record is updated; and
- any refund status displayed is based on the organizer’s declaration unless independently verified.
Players may report an inaccurate refund or payment status to PickleHunter for review.
8. Organizer or Venue Cancellation
If an organizer or venue cancels an activity:
- new registrations or bookings will stop;
- affected users will be notified;
- gateway-paid refunds will be initiated according to the applicable policy; and
- directly collected payments must be refunded by the party that collected them.
A refund may remain processing until the gateway confirms completion.
9. Changes to Date, Time or Venue
Minor operational changes do not automatically create refund eligibility.
A material change, such as a substantial change of date, time or venue, allows an affected user to cancel for a full refund where they cannot reasonably attend.
10. Weather and Force Majeure
For outdoor activities affected by weather, the provider may offer a reschedule or refund.
For broader events outside reasonable control, the organizer or venue may postpone, relocate or cancel the activity. Refund rights depend on whether the service can still be provided and applicable law.
11. No-Shows and Late Arrival
No refund is provided for failure to attend without eligible cancellation.
Late arrival does not extend a booking or session and does not create refund eligibility.
12. Failed or Duplicate Payments
A failed payment does not confirm a booking.
If a duplicate charge is verified, PickleHunter or the payment provider will initiate reversal of the duplicate amount.
Users should report payment issues promptly with the order reference.
13. Partial and Failed Refunds
A refund may be partial where only part of the original payment is eligible.
If a gateway refund fails, the status remains unresolved until retried or otherwise settled. PickleHunter will not mark a refund complete before provider confirmation.
13A. Refund Status and Settlement Adjustments
“Requested”, “initiated”, “accepted by the payment provider” and “credited” are different stages. A refund is complete only after provider confirmation. If beneficiary settlement has already occurred, the payment provider or PickleHunter may reverse a pending amount, create an adjustment against future settlements or request repayment where permitted by the applicable partner agreement and law.
The payment provider's applicable settlement cycle does not shorten or remove a user's refund rights. A failed or delayed settlement to an organizer or Venue Partner must not be represented as a completed customer refund.
13B. Tournament Listing Fee
The applicable tournament listing fee is the amount displayed to the organizer before payment. It is separate from participant entry fees, beneficiary KYC and participant-fund settlement. Its refund treatment depends on the disclosed commercial terms, including duplicate payment, technical failure, withdrawal or review outcome. No fixed listing-fee amount forms part of this Policy.
13C. PickleHunter Plus Subscription
PickleHunter Plus is billed at ₹499 monthly through a recurring Cashfree authorization until future renewal is cancelled. Cancelling renewal does not automatically reverse a charge already completed and does not end the current paid period early. The member keeps paid access until the current period expires, unless access is restricted for fraud, payment reversal or a serious policy breach.
Duplicate, incorrect, unauthorized or technically failed subscription charges should be reported promptly through the Contact page and will be investigated with the payment provider. Any refund required by applicable law remains available. A promotional price comparison does not create a separate annual plan or a guaranteed future price.
14. Chargebacks and Disputes
Users should first use PickleHunter support for gateway-paid transactions.
Directly collected organizer or venue payments must be disputed with the collecting party, although PickleHunter may review misuse of the Platform.
Fraudulent chargebacks or payment abuse may result in account restrictions.
15. Processing Time
After a refund is initiated, the payment provider or bank controls final posting time. Users will receive the available reference and status through the Platform.
