Venue Partner Agreement

This Agreement applies to every club, academy, court operator, facility or organization using Venue Partner features on PickleHunter.
1. Independent Venue Partner
The Venue Partner independently owns, operates or is authorized to manage the listed venue.
Nothing creates employment, partnership, joint venture, franchise or agency between PickleHunter and the Venue Partner.
2. PickleHunter’s Role
PickleHunter provides venue listing, booking, session-management, payment-integration and related technology.
PickleHunter does not own, operate, inspect or supervise the venue and does not employ venue staff, hosts or coaches unless expressly stated.
3. Verification and Authority
The Venue Partner must provide accurate business, contact and venue information and must have authority to list and manage the venue.
PickleHunter may approve, reject, suspend or revoke Venue Partner access.
Verification is not certification or a guarantee of quality or safety.
4. Venue Listing
The Venue Partner must keep accurate:
- venue name and location;
- court count and type;
- opening hours;
- facilities and accessibility;
- photographs;
- prices;
- rules;
- contact and check-in information; and
- temporary closures or restrictions.
Misleading listings or unauthorized venue claims are prohibited.
5. Dashboard and Staff Access
The Venue Partner is responsible for staff accounts and permissions.
Credentials must not be shared improperly. Former staff access must be removed promptly.
Actions performed through authorized staff accounts are treated as actions of the Venue Partner.
6. Court Availability
The Venue Partner must maintain accurate schedules and prevent double booking.
Confirmed bookings must be honored unless cancellation is reasonably necessary.
Offline or in-house bookings must be recorded where the Platform requires this to protect availability.
7. Pricing and Charges
The Venue Partner controls displayed venue prices, subject to Platform rules and applicable law.
PickleHunter may charge configurable commissions, service fees or other commercial charges disclosed to the Venue Partner.
Player-facing charges apply only where shown before booking.
8. Payments
Payments may be processed through a third-party gateway.
The Venue Partner may be required to complete payment-provider onboarding and verification.
Gateway processing, refunds and settlement timing remain subject to the provider's systems and terms. The Venue Partner may be required to complete provider onboarding and KYC before paid activities are enabled or proceeds can be received. Where supported, the beneficiary and applicable deductions are recorded for the payment and settlement follows the payment provider's applicable settlement cycle, subject to verification, refunds, reversals, chargebacks, holds, banking availability and law.
PickleHunter does not provide a stored-value venue wallet unless a future regulated service expressly states otherwise.
9. Settlement Records
The Venue Partner dashboard may show:
- gross gateway-paid bookings;
- platform charges;
- gateway charges;
- taxes;
- refunds;
- adjustments; and
- provider-reported settlement status.
Reports are accounting records and do not create a promise that PickleHunter holds or can release funds outside the approved gateway flow.
10. Taxes and Invoices
The Venue Partner is responsible for taxes, registrations and invoices applicable to its services.
PickleHunter may issue invoices for platform charges.
11. Venue Responsibilities
The Venue Partner is responsible for:
- lawful operation;
- court condition and maintenance;
- lighting and equipment;
- cleanliness and access;
- staff conduct;
- safety and emergency arrangements;
- compliance with local rules;
- honoring displayed facilities; and
- responding to player concerns.
12. Player Conduct
The Venue Partner may enforce reasonable rules that are clearly communicated and consistent with law and PickleHunter’s Community Guidelines.
Serious misconduct should be documented and reported through the Platform where available.
13. Cancellations and Refunds
The Refund & Cancellation Policy applies to Platform bookings.
If the Venue Partner cannot provide a confirmed activity for venue-side reasons, it must cooperate with rescheduling or refund processing.
A gateway refund is complete only when confirmed by the provider.
For a payment collected directly by the Venue Partner, the Venue Partner is responsible for the refund.
14. Operational Failures
The Venue Partner must promptly report:
- venue closure;
- unavailable court;
- unavailable host or coach;
- safety incident;
- material schedule change; or
- inability to deliver a booked service.
Repeated failures may lead to restrictions or suspension.
15. Open Play
Only authorized Venue Partners may create Open Play sessions.
The Venue Partner must provide accurate:
- date and time;
- number of courts;
- capacity;
- participation fee;
- skill or eligibility information;
- equipment or host details; and
- cancellation rule.
The Venue Partner is responsible for conducting the session and making reasonable adjustments where another player does not attend.
16. Group Classes
The Venue Partner must provide accurate class details, including coach, level, capacity, duration and equipment.
If the advertised coach is unavailable, the Venue Partner may provide a suitable replacement. If no suitable coach is available, the class must be rescheduled or cancelled under the Refund Policy.
17. Tournaments at the Venue
A Venue Partner hosting a tournament is responsible for venue obligations under this Agreement.
Where the Venue Partner also acts as Tournament Organizer, the Tournament Organizer Agreement applies separately.
18. Capacity and Safety
Capacity must reflect the actual number of courts, staff and safe operating limits.
The Venue Partner must not oversell sessions or knowingly operate unsafe activities.
19. Photos, Logos and Content
The Venue Partner confirms it has rights to uploaded content.
It grants PickleHunter a non-exclusive licence to display and promote the venue and its activities.
False, misleading, infringing or unsafe content may be removed.
20. Reviews
Users may submit reviews based on genuine experiences.
PickleHunter may moderate unlawful, abusive, fraudulent or irrelevant content but does not guarantee that all reviews are accurate.
The Venue Partner must not manipulate reviews.
21. Player Data
Player information may be used only to deliver the relevant booking or activity, meet legal obligations and provide necessary communication.
The Venue Partner must protect the data, restrict staff access and avoid unrelated marketing without lawful permission.
22. Incidents and Complaints
The Venue Partner must cooperate with reasonable investigations of safety, booking, payment, conduct or data complaints.
Serious incidents should be documented promptly.
23. Suspension and Removal
PickleHunter may restrict bookings, sessions, staff access or the venue listing where reasonably necessary for:
- safety;
- inaccurate information;
- repeated cancellations;
- fraud or payment abuse;
- legal compliance;
- data misuse; or
- breach of this Agreement.
24. Liability
The Venue Partner is responsible for its venue, staff, services, equipment, direct payments and legal compliance.
To the maximum extent permitted by law, PickleHunter is not liable for venue-side injury, closure, service failure, property loss or staff conduct.
Nothing excludes rights or liability that cannot legally be excluded.
25. Indemnity
To the extent permitted by law, the Venue Partner will indemnify PickleHunter against third-party claims arising from the venue’s operations, staff, services, directly collected payments, legal non-compliance or breach of this Agreement.
26. Insurance
The Venue Partner is responsible for any insurance required for its premises, staff and activities.
27. Records and Audit
PickleHunter may maintain booking, fee, refund, adjustment and audit records.
The Venue Partner must provide reasonable supporting information for complaints, disputes, accounting or regulatory review.
28. Termination
Either party may end participation subject to outstanding bookings, refunds, fees, records and legal obligations.
PickleHunter may retain data required for accounting, fraud prevention, dispute resolution and law.
29. Changes
PickleHunter may update this Agreement with a revised effective date.
Material changes may require renewed acceptance.
Schedule A: Open Play and Group Classes
A1. Application
This Schedule forms part of Version 1.0 of the Venue Partner Agreement whenever a Venue Partner creates or manages Open Play or Group Classes.
A2. Authorized Creation and Accurate Information
Only an authorized Venue Partner, approved staff member or PickleHunter administrator may create a session. The creator must accurately state the court, date, time, duration, price, capacity, eligibility, skill guidance, coach or host, equipment, minimum participation and cancellation terms.
A3. Delivery and Safety
The Venue Partner must provide the booked court and any advertised host or coach, maintain safe capacity, check attendance, follow reasonable safety procedures and communicate material changes promptly. Open Play must be conducted fairly. Group Classes must use a suitably qualified coach for the advertised level.
A4. Changes, Substitution and Cancellation
A suitable coach or host substitution may be offered where the essential service remains materially equivalent. If the court, coach or host cannot be provided and no acceptable replacement or reschedule is available, the Venue Partner must cooperate with cancellation and the applicable refund. Material changes require clear notice and any user choice required by the Refund & Cancellation Policy.
A5. No-Shows and Minimum Participation
A participant no-show does not automatically cancel a session that can reasonably continue. If the Venue Partner uses a minimum-participant condition, it must be disclosed before booking. Venue, host or coach no-shows are operational failures and may result in refunds, settlement adjustments, warnings or restrictions.
A6. Payments, Refunds and Records
Paid sessions require the approved beneficiary to satisfy applicable payment-provider verification. Settlement follows the payment provider's applicable settlement cycle. Refunds, reversals, chargebacks and operational adjustments may reduce pending or future settlement as permitted by the Agreement and law. The Venue Partner must preserve accurate attendance and incident records.
A7. Acceptance
Electronic acceptance of the Venue Partner Agreement and this Schedule is recorded with the accepting user, authority, venue, versions, timestamp, network information and a hash of the canonical agreement text.
30. Governing Law
This Agreement is governed by the laws of India.
Subject to non-excludable rights, disputes are subject to competent courts in Jaipur, Rajasthan.

By claiming or managing a venue, the Venue Partner confirms that it has read and accepted this Agreement.
